💛 Pastoral & member care call scripts

Care calls are about presence, not solutions. These scripts help you check in without making it awkward, and listen well when it matters.

Who you're calling: members in a hard season, or anyone the staff flags for a personal check-in.

Last reviewed July 2026. Brackets like [Name] are fill-ins; "..." is where they speak.

General check-in

Hi [Name], this is [Your name] from [Church]. You've been on my heart, and I just wanted to check in and see how you're doing. ... I'm really glad I called. Is there anything specific we can be praying about for you this week? ... Thank you for sharing that. We're here for you.

After a loss or hard news

Hi [Name], it's [Your name] from [Church]. I heard about [what happened], and I wanted to call, not with any big agenda, just to say we're so sorry and we're praying for you. ... Is there anything practical we can do? A meal, a visit, a ride? ...

Lead with presence, not fixes. Silence is okay. Listening is the ministry.

Run these calls in Vesperbell

A script is the easy part. Vesperbell is how you actually work the list without losing anyone.

  1. 1 Build the call queue. Add anyone the care team flags, or build a queue from a segment of members walking through a hard season.
  2. 2 Work the list from the softphone. Each person comes up with their name and recent history, so you're never calling cold.
  3. 3 Log the outcome in one tap. Reached, no answer, or call back later, plus a quick note. "Call back later" drops them back in the queue for the right day.
  4. 4 Let the misses follow themselves up. Set a workflow so a no-answer automatically sends a warm text, so no one slips through.

Common questions

What do you say on a pastoral care call?
Less than you think. Open warmly, ask how they are, then listen. Offer to pray and to help in a concrete way (a meal, a visit). The point is that they feel known, not that you have answers.
How do we keep track of who needs a call?
Keep a standing care queue. In Vesperbell you can add a person from their conversation or a segment, log each call's outcome, and set a reminder to call back, so no one falls through.
